Exhibitor Policies

TERMS & CONDITIONS

By exhibiting at the Event, you, for yourself and on behalf of your company, directors, employees, representatives, and agents, hereby agree to be bound by and abide by these Terms and Conditions before, during and after the Event. IPMI has the right to make rules and regulations or changes in arrangements as necessary, and to amend as needed.     


SUITCASING

IPMI has a zero tolerance policy regarding suitcasing.
Any IPMI Conference & Expo attendee (non-exhibitor) who is observed soliciting business in the trade show aisles will be asked to forfeit their badge and leave the show floor immediately. Violators of these policies will be ejected from the show and charged the single-booth rate, which must be paid prior to registering as an attendee, exhibitor, or sponsor at any future IPMI conference or other event. Please report any violation you observe to the Conference team.

Definition of “Suitcasing”
Suitcasing at the IPMI Conference & Expo is defined as any activity by one who has not paid an exhibition fee (i.e. purchased a booth) where the activity is designed to solicit or sell products or services to other exhibitors or attendees without authorization by IPMI to engage in such solicitation. Suitcasing can occur by those who are registered as attendees or by parties misrepresenting their business or entity relationship to IPMI.
 

MEETINGS, EVENTS, OR PROMOTIONS OUTSIDE THE EXPO HALL

Meeting space will only be approved for companies exhibiting at #IPMI2026. No meeting or activity can be scheduled during IPMI sanctioned activity/session. 

Open nights for exhibitor activities:

  • Monday, June 15 after 5:00 p.m.
  • Tuesday, June 16 after 5:00 p.m.

 

DEMOS/FOOD & BEVERAGE/ACTIVITIES

All product demonstrations or exhibitor/sponsor  activities must remain within the assigned booth/sponsor area and must not interfere with the flow of attendee traffic or disrupt neighboring booths/sponsor areas.

If you're looking to have food/beverage service in your exhibit booth during expo hours to drive traffic the Baird Center/Levy Restaurants is the exclusive provider for all in-booth food/beverage.  

Outside food/beverage is not permitted.

Alcohol is permitted however, you must order through the Baird Center/Levy Restaurants and requires a bartender to serve from your booth. 
 

PHOTOGRAPHY/VIDEOGRAPHY/RECORDING

To maintain a respectful, secure, and distraction-free environment for all participants, photography, video recording, audio recording, livestreaming, and sketching are strictly prohibited throughout the IPMI Conference & Expo —including the exhibit hall, educational sessions, networking events, and sponsored programs—unless prior written approval is obtained from IPMI.

Exhibitors/Sponsors may submit a request to conduct photography or videography related to their sponsored booth, session, or activity, but must coordinate with IPMI in advance. Approval is not guaranteed and will be evaluated based on potential disruption, compliance with privacy considerations, and alignment with the meeting’s educational and professional standards.

No exhibitor/sponsor or representative may photograph, record, or sketch another sponsor’s or exhibitor’s booth, materials, or programming without express written consent from the party concerned and from IPMI. Unauthorized photography or recording may result in confiscation of equipment or media, removal from the event, and disqualification from future participation.

IPMI reserves the right to have its official event photographer/videographer capture content. These materials may be used for future promotional or archival purposes.
