General
What meals are included with registration? Conference & Expo Coffee and tea will be available throughout the morning on Monday, Tuesday, Wednesday. Lunch will be provided Sunday, Monday, Tuesday and Wednesday. There are a limited number of vegetarian/vegan, gluten-free and other special meals available, based on the stated dietary needs on your registration form. The caterers at the Convention Center will do their best to accommodate dietary restrictions. Food will be labeled. Please check with a banquet person to see if a special meal is still available. Golf Event & Tournament If you are registered for the Golf Event & Tournament on Sunday, June 8, breakfast and lunch will be provided when you arrive at the course and complimentary beverage carts will be available throughout event. Sunday Evening Opening Event Applies to those who have a full registration, opening event ticket, or Sunday Daily registration. The event is being held from 6:30pm to 9:30 pm, and light food will be provided.
What is the dress code? Leave the tuxedo at home! Business casual attire is both acceptable and preferred. Be comfortable! The average high is 85 degrees in Louisville, and low of 65 degrees; pack smart! The conference and hotel locations are all in close proximity to one another.
Is there a mobile app? Absolutely and you’ll find that it’s quite the buzz during the event with attendees engaging and connecting virtually even on the go. You’ll also find that it’s packed full of information and this year, in an effort to be more sustainable, IPMI will not be producing a phyical Program Guide and the content will be posted in the mobile app. It’s also a useful tool to start planning your session participation and getting to know other attendees long before your feet hit the ground in Louisville. You can find the mobile app in the Google Playstore or Apple App Store by searching for IPMI beginning in late May.
I have never attended before. Is there anything special I should know? First of all, welcome and we’re glad you’ve decided to join us; you won’t regret it! You will receive an email invitation to attend a Frist Timers Networking Session. Be on the lookout as the event gets closer! Be sure to download the conference mobile app from the Google Playstore (in late May) or Apple App Store.

Will all conference programming be held at the Convention Center? All programming will be held at the Kentucky International Convention Center. Locations for events not being held at the Center will be noted in the Events Section of the website or noted in the Schedule-at-a- Glance.
I’m an International Attendee. Can IPMI provide an invitation letter for my attendance? In order for IPMI to issue an invitation letter you must follow the below directions: First, you must register for the Conference and Expo and pay your registration in full. Send an email to Conference@parking-mobility.org with the following details: Full Name on Passport Country of Origin Passport Number Passport Expiration Date
I am in a wheelchair and will require assistance. I will be bringing my spouse/significant other/additional person for this purpose. Hotel, Property, and Travel
When is the cut-off to book my room? The hotel cut-off is May 5, however, please be aware, this only means that the IPMI contracted block of rooms is available to book up until that date, based on availability Many of our properties sell out well in advance of the cut-off date. Book early!
I forgot to book my room by May 12 – HELP! Deep breath! We want you there as much as you want to be there but we’ve got to be honest, we do not hold any sub-blocks or spare rooms in our back pocket. And when the cut-off date is gone, we have just a wee bit more pull than you do to try to get you in one of our properties at the IPMI negotiated rate, however, we will always give you 150% effort to make it happen. If you have missed the deadline, please email us at conference@parking-mobility.org.
Do I have to book inside the IPMI block? You can certainly book at any hotel property you desire and we understand that some of you may have your own organizations rules of travel, requiring you to stay at a specific hotel chain, however, there are multiple benefits to both you, the attendee and to IPMI, the organization for this sort of partnership. Rates and concessions have been specifically negotiated for IPMI attendees to help reduce costs in a number of ways including, complimentary Wi-Fi in some properties, complimentary breakfasts and/or evening refreshments or happy hours at other properties. IPMI and/or our partners/sponsors occasionally arrange for special messaging or room deliveries to IPMI attendees. If you have not booked inside the block, you are liable to miss out on important messages/offers or even surprise room drops. When IPMI has contracted a block of rooms and those blocks aren’t met, the association faces the potential of attrition which often includes financial impact to the association. Each year when contracting with our properties, IPMI uses a matrix and historical data to contract for the total sleeping rooms for the event. When you book outside the block, that data is not captured inside IPMI’s data and is not attributed towards IPMI’s contracted block and could adversely affect the association.
Is transportation provided from the hotels to the Convention Center? All education and exhibits are self-contained in the Kentucky International Convention Center. IPMI shuttles will be provided to all off property special events including the Golf Tournament and the Opening Welcome Event. Shuttle service will NOT be provided from the hotels to the Convention Center.
I received a call from someone offering to book my hotel (offering discounted or lower rates than the IPMI contracted rates.) Are they legitimate? None of our properties will contact you initially to book your hotel. These are pop-up entities that prey on convention traffic to run scams or meet quotas. Often times they will book your room but later you will find out that you don’t have a room onsite or you pay additional fees. These “room pirates” are extremely unscrupulous and are often long gone by the time the event rolls around. We strongly encourage you to book inside IPMI’s block to protect yourself and reap the benefits of IPMI’s negotiated concessions and messaging service during the event.

Is there funding available to help with travel/registration costs? IPMI does have a scholarship fund available to certification credential holders. Please download and read the guidelines for applying here.

What does a full registration fee include? Full registration fees include access to education sessions, admission to the Expo Hall and all General Sessions.
I’d like to bring some of my staff, is there a discount for teams? When registering three or more full conference attendees from the same organization at the same time, a $50 discount will be applied for each person starting with the third person in the group.
Do I have to be a member to attend the conference? No, you do not have to be an IPMI member to attend the 2025 IPMI Parking & Mobility Conference & Expo, however, you can save money on your conference registration if your organization joins today! You can choose to purchase membership through the Attendee Registration process or email us at membership@parking-mobility.org for more information. Be sure to provide IPMI's Membership Department with a full company roster before registering other persons from your organization to ensure they receive the member rate.
What is the cancellation policy? Cancelations may be submitted to Tina Altman: taltman@parking-mobility.org All refunds will be issued after the conference has ended via the original payment method. All registration cancelations and refund requests must be made in writing by April 30, 2025. A refund of the full conference fee, minus a $100 administrative fee, will be given for cancelations received by that date. No refunds will be granted for requests postmarked after April 30, 2025. We are unable to offer refunds for the William Voigt Golf Classic Tournament. No-shows are non-refundable and does not negate your financial responsibility for the registration fees You may transfer a registration to another person for a minimal administrative fee based on the time of your request. please see our Transfer/Substitution policy for further details.
What is the transfer/substitution policy? SUBSTITUTION POLICY: Substitution of registrations is permitted prior to the conference and onsite. Only one substitution is permitted per original registrant. The individual submitting the substitution request is responsible for all financial obligations (any balance due) associated with that substitution as well as updating any contact information. Badge sharing, splitting, and reprints are not permitted. Badge sharing, splitting, and reprints are strictly prohibited. Submit your request to Conference@parking-mobility.org
What payment methods are accepted? We accept American Express, Visa, Mastercard, and Purchase Orders through our online registration process. We accept checks and can invoice your organization if necessary. Please note, we do accept multiple forms of payment for one registration form with multiple items.
I am a student and wish to attend the conference. Is there a discount for students? Yes, we are happy to extend a discount to students. Please contact conference@parking-mobility.org for more information.
